This Privacy Policy explains how The Charter Schools Educational Trust collects and uses personal data through www.charternurseries.org (the "Site") itself, for example when you browse the Site, use the fee calculator, or send us an enquiry.

This policy covers the website only. It does not cover how we collect or use personal data about children and families through nursery registration, admissions, or day-to-day nursery operation. That is covered by our separate Privacy Notice, available on our Policies page, which applies across the Charter Schools Educational Trust.

2. What we collect and why

a) Information you give us

When you use the contact form on the Site, we collect the information you enter, which may include your name, email address, phone number, the nursery or topic your enquiry relates to, and the content of your message. We use this to respond to your enquiry.

Legal basis: consent (you choose to submit the form) and our legitimate interest in responding to enquiries about our nurseries.

b) Information collected automatically

When you browse the Site, we and our service providers automatically collect some technical information via cookies, including:

  • Analytics data (pages visited, how you got to the Site, general location and device type) via Google Analytics.
  • Security and performance data via Cloudflare.
  • If you use the on-page translation feature, Google Translate sets its own cookies.

c) The fee calculator

The nursery fee calculator on individual nursery pages is a guide-only estimation tool. Depending on how it's built, the choices you make in the calculator (days needed, funded hours, etc.) may be processed only in your browser and not sent to us, or may be transmitted to help us respond to related enquiries.

3. Who we share data with

We don't sell personal data. We share it with:

  • Service providers who help us run the Site, currently Cloudflare (hosting/security) and Google (Analytics and Translate). These providers process data on our behalf, or in Google's case, in some instances as an independent controller for their own purposes (see their privacy policy: https://policies.google.com/privacy).
  • Webflow, our website hosting and forms platform, which stores contact form submissions.
  • Regulators or authorities, where we're required to by law.

4. International transfers

Some of our service providers (including Google) may process data outside the UK, including in the United States. Where this happens, we rely on the provider's compliance with UK-recognised transfer safeguards, such as the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, or the UK-US Data Bridge where applicable.

5. How long we keep it

  • Contact form enquiries: kept only as long as needed to respond to and follow up on your enquiry, then deleted or archived in line with our records retention schedule.
  • Analytics data: retained by Google Analytics for the periods set out in our Cookie Policy, currently just over a year for _ga/_ga_* cookies. Aggregated analytics reports may be kept longer, but do not identify you individually.

6. Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you and get a copy of it (right of access)
  • Ask us to correct inaccurate data (right to rectification)
  • Ask us to delete your data in certain circumstances (right to erasure)
  • Ask us to restrict how we use your data (right to restriction)
  • Object to certain processing, including processing based on legitimate interest
  • Ask for your data in a portable format, where relevant (right to portability)
  • Withdraw consent at any time where we rely on consent, such as analytics cookies, without affecting anything done before you withdrew it

7. Children's data

This Site is intended for use by parents, carers and prospective families, not by young children directly. We don't knowingly collect personal data from children through the Site itself. If you believe a child has submitted personal data to us through the contact form, please contact us and we'll delete it.

Nursery-specific information about individual children is collected separately, outside this Site, as part of registration and enrolment, and is covered by our Trust-wide Privacy Notice rather than this policy.

8. Security

We use reasonable technical and organisational measures to protect personal data submitted through the Site, including working with providers (Cloudflare, Webflow, Google) who maintain their own security standards. No method of transmission over the internet is completely secure, so we can't guarantee absolute security.

9. Changes to this policy

We may update this policy from time to time, for example if we add a new tool or service to the Site. We'll update the "Last updated" date at the top when we do. Please check back periodically.
